ClubMate ("ClubMate", "we", "us") is a tool for grassroots cricket clubs to manage player availability, team selection, and match fee collection. This policy explains what personal information we collect, how we use it, and your choices. ClubMate is operated by [Legal entity / club operator name], [State, Country].

Information we collect

• Account details — your full name and mobile phone number (used as your identity / for sign‑in), and a username and password if you set one. A club may also store an optional contact email and address for the club.
• Club activity — your club membership and role, your availability responses for matches, and team‑selection records (e.g. whether you were picked, batting order, captain/wicket‑keeper/12th‑man).
• Payments — records of match‑fee transactions (amount, status, date). We do not collect or store your card details — card payments are processed directly by Stripe; we only receive a confirmation that a payment succeeded, failed, or was refunded.
• Images — a club logo image, if a club administrator uploads one.
• Device & notifications — a push‑notification token and basic device information so we can send you availability requests and reminders.
• Technical logs — standard server logs (e.g. IP address, timestamps) needed to operate and secure the service.

How we use your information

• To run availability, team selection and fee collection for your club.
• To send you notifications (push, and—if configured—SMS/email) about availability, selection and fees.
• To process match‑fee payments and refunds via Stripe.
• To provide support, prevent fraud/abuse, and keep the service secure.

We do not sell your personal information, and we do not use it for third‑party advertising.

Service providers we share data with

We use trusted providers that process data on our behalf to run ClubMate:

• Stripe — payment processing (card details go directly to Stripe). See stripe.com/privacy.
• Twilio — sending SMS one‑time codes / messages (if phone verification or SMS notifications are enabled).
• Expo — delivering push notifications.
• Supabase — storing uploaded club logo images.
• Railway and Vercel — hosting our application, database and website.
• PlayHQ — we may read publicly available fixture/result information for your club; we never write to PlayHQ.

These providers may store and process data outside [State, Country]. We share data with them only as needed to provide the service.

Children

Cricket clubs include junior players. ClubMate accounts for junior players should be created and managed by a parent/guardian or a club administrator on their behalf. We do not knowingly collect personal information directly from children without appropriate consent. If you believe a child has provided us information without consent, contact us and we will remove it.

How long we keep data

We keep your information while your account and club membership are active, and as needed to comply with legal, accounting and security obligations. You can ask us to delete your data at any time (see below).

Your rights & deleting your data

You can request access to, correction of, or deletion of your personal information. To request deletion of your ClubMate account and associated personal data, email support@clubmate.run from the address/number on your account, or use the in‑app account‑deletion option where available. We will delete your personal data, except records we must retain for legal or accounting reasons (e.g. payment records), which we keep only as long as required.

Security

All traffic is encrypted in transit (HTTPS). Passwords are stored only as salted one‑way hashes, and access to data is restricted. No system is perfectly secure, but we take reasonable steps to protect your information.

Changes to this policy

We may update this policy from time to time. We will change the "last updated" date above and, for material changes, notify you in‑app.
